Gantt Chart Project Management: Plan Better, With AI Help

Gantt chart project management made practical: when to use a Gantt, how to set dependencies and milestones, and how AlianHub's AI keeps the chart current.

Gantt chart project management means planning work as bars on a timeline, with links that show which tasks wait on others and diamonds for key milestones. It is the best view for answering "when will this be done, and what happens if that slips?" In AlianHub, the Gantt is one of six synced views, and AI agents help keep the plan behind it current.

Key takeaways

  • A Gantt chart answers "when" and "what waits on what". Use a board for "what now".
  • Dependencies are the point. A Gantt without links is just a pretty calendar.
  • Milestones are promises. Keep them few and visible.
  • The chart is only as good as the last update, so make updating cheap.
  • Let AI draft the plan and flag stuck work. Let people move the dates that matter.

What a Gantt chart shows

A Gantt chart puts time along the top and tasks down the side. Each task is a bar from its start to its due date. Three elements do most of the work:

  • Bars show how long each task runs and when.
  • Links show blockers: task B cannot start until task A is done.
  • Milestones mark key dates, such as a launch or a handover.

In AlianHub, the Gantt view shows a bar per task, links for blockers and milestones as diamonds. It reads the same tasks as the List, Board, Table, Calendar and Workload views, synced in real time, so you never maintain two plans. See all six on the features page.

When to use a Gantt, and when not to

Use a Gantt when dates depend on each other. Use a board when they do not.

How to build a good Gantt plan

Start from outcomes, not tasks

List the milestones first: the dates you have promised. Then work backwards to the tasks that must finish before each one.

Every link should mean "this genuinely cannot start before that". Too many links make every delay look like a crisis. Too few hide the real risk.

Keep tasks short

Bars that run for months hide progress. Split them into pieces that finish within a week or two.

Leave buffer before milestones

A milestone that sits right at the end of a chain of tasks will slip the moment one of them does.

Tip: before you share a Gantt with a client or a manager, remove anything that is not a real blocker. A clean chart gets read. A busy one gets ignored.

How AlianHub's AI helps with Gantt planning

The slow parts of Gantt chart project management are building the first plan and keeping it current. That is where AlianHub's AI features come in.

  • AI project generator: write a brief, answer its questions, and review a full plan of lists, tasks and sub-tasks before anything is built.
  • Intake skill (brief.parse): reads a task brief and proposes subtasks with estimates, plus open questions.
  • Ask box: ask "what is overdue?" or "who is over capacity next week?" across everything you can open.
  • Connect your AI: with Claude, ChatGPT or Claude Code connected over MCP, you can ask in plain words to "make Build wait on Design, then move Design two working days later". The link is applied at once, with Undo; moving the date needs the Manage tasks permission.
  • Reporter agent (digest.ceo): posts what moved, what is stuck and what is at risk.

AI drafts the plan and flags the slips. People decide which dates move. Agents cannot close tasks, delete work or change permissions.

How to do this in AlianHub

  1. Open AI and start the AI project generator. Describe the project, its deadline and its main stages.
  2. Answer the generator's questions and review the plan. Accept it when the lists and tasks look right.
  3. Open the project and switch to Gantt view. Add due dates, link real blockers, and add milestones as diamonds.
  4. Switch to Workload view to check planned hours per person against capacity.
  5. Open the Agents tab and set a Reporter to L3 on this project, so a digest posts on a schedule.
  6. Optionally, connect your own AI under AI, then Connect your AI to change links and dates in plain words.
  7. Check AI, then AI Inbox for wider changes, and Audit log to see or undo anything.

For long-range views, the Milestone Report lays projects across a year timeline, month by month, and the Portfolio marks each project on track, at risk or off track. See the workspace page.

A business scenario: a construction handover that holds

Picture a construction firm with a site handover date agreed with the client. The plan has dozens of linked tasks across trades, and updates arrive from site daily.

The project manager builds the first plan with the AI project generator, then links the real blockers in Gantt view and sets the handover as a milestone. A Site Daily Report Writer agent drafts the daily report, and a Reporter digest flags what is stuck each week. When a delivery slips, the manager asks their connected AI to move the dependent task and sees the knock-on effect on the chart straight away.

The client hears about risks early, with a clear picture of what changed. Fewer handover dates are missed, and the manager spends time solving problems on site instead of redrawing the chart. Read how other teams use these views on the teams page.

Common Gantt mistakes

  • Treating the first plan as fixed. A Gantt is a forecast, not a contract.
  • Linking everything to everything.
  • Hiding the chart from the people doing the work.
  • Updating it only before meetings.
  • Using it for work that has no dates, like a support queue.

FAQ

What is Gantt chart project management?

It is planning a project as bars on a timeline, with links for dependencies and markers for milestones. It shows when work happens and what waits on what.

Does AlianHub have a Gantt chart?

Yes. The Gantt view shows a bar per task, links for blockers and milestones as diamonds, synced with List, Board, Table, Calendar and Workload views.

Can AI update my Gantt chart?

AlianHub's AI can draft the plan, propose subtasks, and, through a connected AI app, add links and move dates in plain words with Undo. Wider changes wait in the AI Inbox for a person.

Is a Gantt chart useful for agile teams?

Yes, for release planning and dependencies across teams. AlianHub's engineering sprints include a burndown and a Gantt chart side by side.
