AI Status Reports: How to Stop Writing Weekly Updates by Hand

AI status reports turn live project data into weekly digests: what moved, what is stuck, what is at risk. Set them up in AlianHub with a Reporter agent.

AI status reports are project updates written by AI from your live project data: what moved, what is stuck and what is at risk. Instead of a person chasing updates and typing them up every Friday, an agent reads the open work and posts the digest on a schedule. In AlianHub, that job belongs to the Reporter agent, and you decide exactly how much it may do.

Key takeaways

  • A status report should be read in two minutes and acted on in five.
  • If the data is in the project tool, nobody should be retyping it.
  • The Reporter is a low-risk job: reading and posting, nothing destructive.
  • Ask for "what is stuck" first. That is the line people actually need.
  • Keep a person in charge of what goes to clients and leadership.

Why manual status reports fail

Manual reports have three problems. They take time from the people closest to the work. They are out of date by the time they are read. And they drift towards good news, because nobody enjoys writing "this is late".

The most useful sentence in any status report is "this is stuck, and here is why". AI is good at finding it, because it reads every open task without getting tired or diplomatic.

What AlianHub's AI does for status reporting

Several AlianHub AI features work together here.

The Reporter's skill needs only one thing: a task in the project it should report on. Posting a report counts as a low-risk action, so at L2 or L3 it can act on its own with Undo. At L3, it may also run on a schedule.

How to do this in AlianHub

Get an update right now

  1. Open AI in the left menu and go to the Ask box.
  2. Scope it to a single project, or to "Everything you can open".
  3. Choose Project status update, or type "What moved, what is stuck and what comes next?"
  4. Use Research for a more thorough answer, or @ to pull in a specific task or doc.

Put the weekly report on autopilot

  1. Open the Agents tab and choose the Reporter agent with the digest.ceo skill.
  2. Set it to L3, "Acts, also on a schedule", so it can post the digest on its own each week.
  3. Set the daily action limit and monthly spend cap, and pick a pinned model or the workspace routing policy.
  4. Use Run now once to check the first digest.
  5. If it proposes anything beyond a report, such as moving stuck tasks to Blocked, the proposal waits in AI, then AI Inbox.
  6. Review recent runs and the Audit log, and Pause or Stop it any time.

Tell it how you like reports

Open Your AI memory and add preferences such as short answers, bullet points or UK spelling. Your memory is private to you, admins included.

Tip: run the Reporter at L1 for the first two weeks, so its digest arrives as a proposal you read before it posts. Move it to L3 once you trust the tone.

Reports beyond the digest

Digests tell the story. Reports give the numbers behind it. AlianHub's reports read live workspace data:

  • Portfolio shows every project as on track, at risk or off track.
  • Milestone Report lays projects across a year, month by month.
  • Variance Report compares actual time with estimates, by project or person.
  • Custom Report builds charts from your tasks, such as tasks by status.

You can save a report or schedule it by email. See them on the workspace page.

A business scenario: the Friday report that writes itself

Picture an operations lead who spends Friday afternoon gathering updates from several project leads for the leadership team. By the time the report goes out, Monday's priorities are already set.

With AlianHub, a Reporter at L3 posts a digest for each project on schedule. The lead opens the Portfolio, sees which projects are at risk, and adds two lines of judgement on top. A Variance Report goes by email to finance.

Friday afternoon goes back to actual work. The lead still writes the opening line for leadership, but starts from a draft built on live tasks instead of a blank page and a stack of messages. Leadership sees stuck items days earlier, so decisions happen before deadlines slip. Project leads stop being interrupted for updates, and the same setup scales as new projects start.

What to keep human

  • The judgement. AI reports what the data says. A person explains why and what to do.
  • Client-facing tone. Review anything that leaves the company.
  • Closing work. No agent closes a task. A person checks before Done.

Agents also cannot delete tasks, docs, comments or projects, or change permissions. More on the AI controls page.

Let AI write the first draft of the truth. Let people decide what to do about it.

FAQ

What are AI status reports?

They are project updates generated by AI from live task data, usually covering what moved, what is stuck and what is at risk. In AlianHub, the Reporter agent posts them as a digest.

Can the Reporter run on a schedule?

Yes. At autonomy level L3, an agent may run on a schedule, such as a weekly digest every Monday morning.

Will the AI change my tasks while reporting?

Posting a report is low risk and comes with Undo. Wider changes, such as moving tasks between lists, wait in the AI Inbox for a person to approve.

Can I use Claude or ChatGPT to write status reports instead?

Yes. Connect Claude, ChatGPT or Claude Code over MCP under AI, then Connect your AI. It reads what you can open and works as you. See the Connect your AI guide.

Stop writing the same update every week. Open the demo to see a Reporter digest, and share this post with the person on your team who writes Friday updates.
