Workload Management Software: How to Stop Overbooking Your Team

Workload management software shows who is overbooked before it hurts. Learn how to plan capacity, balance hours and catch overload early in AlianHub.

Workload management software shows how much work each person has against how much time they actually have, so you can spot overload before a deadline slips. The good tools do three things well: they show planned hours per person, they compare those hours to real capacity, and they make it easy to move work around. AlianHub does this with a Workload view, a Capacity Planning report and an Ask box you can query in plain words.

Key takeaways

  • Overload is a planning problem, not a people problem. Fix the plan, not the person.
  • A workload view is only useful if hours and estimates are honest.
  • Look ahead weeks, not days. Capacity trouble is visible long before it bites.
  • Time off belongs in the capacity line, or your numbers lie.
  • Ask your tools "who is over capacity next week?" and act on the answer.

Why teams end up overbooked

Most overload is invisible until it is too late. A manager assigns a task in one project, another lead assigns two more in a different project, and nobody sees the full picture for that person.

Common causes:

  • Work is spread across several projects with no shared view.
  • Estimates are missing, so a "small" task turns into two days.
  • Time off is not counted against available hours.
  • Status meetings report on tasks, not on people's load.

A list of tasks tells you what is due. It does not tell you whether the people doing it can get there.

What good workload management software should show

Before choosing a tool, be clear about the questions you need answered every week.

QuestionWhat the tool needs
Who is over capacity next week?Planned hours per person and day against capacity
Which team has room for more?Hours committed against hours available, per team
Are our estimates any good?Actual time logged against the estimate
What happens after holidays?Available hours that account for time off
Is any project at risk?Project health and team load in one place

If a tool cannot answer most of these without a spreadsheet export, it is a task tracker, not workload management software.

How AlianHub handles workload

AlianHub is a free, open-source, self-hosted project management platform. Workload is not an add-on; it sits next to the other project views and reports.

The Workload view

Every project has six views: List, Board, Table, Calendar, Gantt and Workload, all synced in real time. The Workload view shows planned hours per person and day against their capacity, so a red cell for one person on Thursday is visible at a glance.

Because the views share the same data, you can spot a problem in Workload, switch to Board or Gantt, and reassign or reschedule the task without leaving the project.

The Capacity Planning report

For a longer horizon, the Capacity Planning report in the More menu compares hours committed against hours available for each team, month by month. You can look ahead 3, 4 or 6 months, in hours per day, by team.

It separates work that is committed, work that is upcoming but not confirmed, and anything over available. The available line accounts for time off. For teams with room, a "Fill the gap" action helps you put that spare capacity to use, and the report can be exported.

Portfolio team load

The Portfolio page gives you project health (on track, at risk, off track) plus team load per team, a burn-down and capacity for the current week. It is the view to open before a planning meeting. See more on the Reports and workspace page.

Tip: Run Capacity Planning at the start of each month and Workload at the start of each week. Monthly catches structural overload. Weekly catches the surprises.

Make the numbers honest

Workload management software is only as good as the hours you feed it. Two habits make the biggest difference.

Estimate every task that takes real time

You do not need perfect estimates. You need some estimate, so the tool has something to add up. A rough "4 hours" beats an empty field every time.

The Variance Report in AlianHub shows actual time against estimate, by project or by person. Its "Where estimates drift most" check flags tasks with no description, a changed estimate, more than one assignee, or an estimate of two days or more. Those are the tasks to break down.

Track time where the work happens

AlianHub has native time tracking: start a timer on a task or add time by hand, then send a weekly timesheet for approval. Timesheets and leave requests land in one Approvals queue. We wrote more about this in our guide to time tracking and timesheets.

When time is logged on the task, your capacity view stops being a guess.

Use AI to ask about workload

You should not have to build a report to answer a simple question. In AlianHub, the Ask box takes plain words, such as "Who is over capacity next week?", and answers from the projects you can open.

Ask only reads projects you can already open, so it never widens what you can see. If the answer shows one person over and another with room, you can plan changes from there. Proposed edits come back to you first rather than being made silently.

You can also use the AI app you already have. AlianHub ships an MCP server, so Claude, ChatGPT or Claude Code can work inside your workspace as you, seeing only what you can open. Read the Connect your AI guide for the steps.

How to do this in AlianHub

  1. Open a project and switch to the Workload view to see planned hours per person and day.
  2. Open AI and type in the Ask box: "Who is over capacity next week?" Scope it to "Everything you can open".
  3. Choose Plan changes to turn the answer into proposed reassignments. Assigning a task is a wider change, so it waits in the AI Inbox.
  4. Approve or decline each proposal in the AI Inbox. Approved changes are in the audit log and can be undone.
  5. For a scheduled view, switch on a Reporter agent at L3 so a digest of what is stuck lands every Monday.
  6. Once a month, open More, Capacity Planning and look three months ahead by team.

The goal is not 100% utilisation. The goal is no surprises.

A business scenario: the agency that stopped missing dates

A small agency runs a dozen client projects with the same designers. The account lead used to discover overload on the day a deadline slipped.

Now the Ask box flags who is over capacity a week ahead, the lead approves two reassignments in the AI Inbox, and the Reporter digest shows what is stuck each Monday. The result: fewer late deliveries, calmer client calls, and room to take on new work because spare capacity is visible.

FAQ

What is workload management software?

It is software that compares the work assigned to each person with the time they have available. It helps managers spot overload, balance assignments and plan capacity across projects.

Is workload management the same as resource management?

They overlap. Workload management focuses on people's hours day to day, while resource management usually covers longer-term capacity planning across teams. AlianHub covers both with the Workload view and the Capacity Planning report.

Does AlianHub charge per seat for workload features?

No. AlianHub is free and open source under the AGPL-3.0 license, with no per-seat pricing when you self-host. Every view and report is included.

Can AI tell me who is overbooked?

Yes. In AlianHub you can ask the Ask box in plain words, for example "Who is over capacity next week?", and it answers from the projects you can open.
